    Abstract
    The employees of an organization often use a personal hierarchical classification scheme to organize digital documents that are stored on their own workstations. As this may make it hard for other employees to retrieve these documents, there is a risk that the organization will lose track of needed documentation. Furthermore, the inherent boundaries of such a hierarchical structure require making arbitrary decisions about which specific criteria the classification will b.e based on (for instance, the administrative activity or the document type, although a document can have several attributes and require classification in several classes).A faceted classification model to support corporate information organization is proposed. Partially based on Ranganathan's facets theory, this model aims not only to standardize the organization of digital documents, but also to simplify the management of a document throughout its life cycle for both individuals and organizations, while ensuring compliance to regulatory and policy requirements.

    Abstract
    From characteristics of information, documents and document information systems (document IS), motives to use document IS are described. A few cases are presented. The functional aspects of document IS are described, derived from ISO standard 15489 on records management and the Sarbanes-Oxley law, and made operational in MoReq and DoD standard 5015.2. Explicit attention is given to related subjects from a viewpoint of document management: information sharing (workflow, knowledge management), and interoperability of Information and Communication Technology (ICT) tools; authenticity because of the possible evidential value of documents; and digital longevity because of the possible long-time function of archival documents. The technical aspects answer functional demands; important information science standards, and standard components for 12 characteristics of document IS are described, among others ODMA, the XML family, OAIS, and metadata schemes. The design methodological aspects answer functional demands and technical possibilities. Models are introduced and the way of working of, e.g., a digitization project is described.

    Abstract
    Was hat ein Staatsarchiv mit Schriftgutverwaltung zu tun? Ist Schriftgutverwaltung nur ein altbackener Begriff für das moderne Records Management? Was ist Records Preservation? Und wo ist der Bezug zu Orwells Roman "1984"? Diese Fragen will der Beitrag beantworten. Im ersten Teil beschreibt Irmgard Mummenthey zunächst die Aufgaben des Staatsarchivs der Freien und Hansestadt Hamburg und erläutert Begrifflichkeiten. Sie geht dann auf Records Management als strategische Aufgabe des Staatsarchivs ein und skizziert die Bedeutung sowohl einer vertrauenswürdigen Überlieferung als auch eines Archivs selbst in einem demokratischen Rechtsstaat. Jenny Kotte stellt dann im zweiten Teil die wichtigsten Standards vor. Diese sind maßgebliche Instrumente, um den Stellenwert von Schriftgutverwaltung bzw. Records Management und damit seine Qualität zu sichern. Julia Brüdegam berichtet im dritten Teil, wie das Staatsarchiv seinen gesetzlichen Auftrag, die hamburgische Verwaltung zu beraten, praktisch umsetzt. Da die drei Autorinnen sich in ihrer täglichen Arbeit auf die öffentliche Verwaltung konzentrieren (müssen), liegt dort auch unweigerlich der Schwerpunkt dieses Beitrags.

    Abstract
    Mit der Entstehung digitaler Medien haben sich auch neue Formen der Produktion, Publikation und Distribution wissenschaftlicher Information entwickelt: Elektronische Sekundärveröffentlichungen, aber auch genuin elektronische Publikationen, Publishing-on-Demand sowie die Möglichkeit des Zugriffs auf Dokumente im Pay-per-View-Verfahren sind nur einige Beispiele für diese Veränderungen. Mit der steigenden Anzahl und Relevanz digitaler Ressourcen nimmt aber auch die Frage nach den Möglichkeiten und Bedingungen ihrer zuverlässigen Archivierung an Dringlichkeit zu. Dies betrifft sowohl die Sicherung der Datenspeicherung als auch den zukünftigen Zugriff auf die in ihnen enthaltenen Informationen. Die Faktoren, die einer einfachen Lösung dieser Aufgabe entgegenstehen, sind vielfältig: Der rasante Technologiewechsel im IT-Bereich erschwert den Zugriff auf ältere Datenformate und erfordert eine Emulation der ursprünglichen technischen Umgebung eines Dokuments bzw. die Migration der Daten selbst. Vor allem aber fehlen Standards für die Archivierung digitaler Ressourcen, die vorgeben, welche Informationen für die Langzeitarchivierung erforderlich sind, und die einen Rahmen für die Erstellung und Pflege dieser Informationen bereitstellen. Um sich einer Lösung dieser Probleme zu nähern, trafen sich Vertreter internationaler Institutionen aus dem Archiv-, Bibliotheks- und IT-Bereich vom 6. bis zum 8. Dezember 2000 in York anlässlich der von Cedars ausgerichteten Konferenz "Preservation 2000" und des dieser Konferenz vorausgehenden eintägigen Workshops jnformation Infrastructures for Digital Preservation". Im folgenden soll ein Überblick über die Inhalte der im Rahmen beider Veranstaltungen gehaltenen Vorträge gegeben werden

    Information systems are essential support for knowledge management in all types of enterprises. This paper describes the evolution and development of a specialized hospital information system. The system is designed to integrate for access and retrieval from databases of patients' case records, and related images - CATSCAN, MRI, X-Ray - and to enable online access to full text of relevant papers on the Internet/WWW. The generation of information products and services from the system is briefly described.

    Abstract
    Records, as documents which provide evidence of business transactions that have taken place, are collected and preserved for as long as they are useful to the organization, or as is demanded by law. In order to be useful, however, they must be organized in such a way that they can easily be identified, located, accessed, and used, for whatever purpose. First, the records must be described by identifying the most useful salient characteristics; then, they are categorized in various ways, according to their age, function, level of confidentiality, privacy and security, and access to them controlled according to these categories. Records may be arranged by one of several ordinal systems, usually involving letters and numbers, but also color: these symbolically represent the characteristics that are considered as important descriptors. Thus, records can be accessed (or protected from access) by their category; they can be located by correspondence between terms (which may be words or numbers) used to describe characteristics and terms used in searching for particular records or records series. These principles apply to both physical and virtual records.

    This paper describes part of a current research investigating the feasibility of creating a faceted and multi-viewed knowledge organization system (KOS) for administrative document organization in online environments. Preliminary findings support the faceted and multi-viewed classification as a promising altemative to the hierarchical paradigm for personal administrative electronic documents organization. Further analysis about identification of semantic relations between facets to reduce number of facet descriptors is required. Technical improvements are also needed to enhance the faceted navigation interface used within the pilot test.

    Abstract
    This communication describes part of a current research carried out at the Université de Technologie de Troyes and funded by a postdoctoral grant from the Fonds québécois de la recherche sur la société et la culture. Under the title "Design and evaluation of a faceted classification for uniform and personal organization of administrative electronic documents", our research investigates the feasibility of creating a faceted and multi-points-of-view classification scheme for administrative document organization and retrieval in online environments.

    Abstract
    Als in den siebziger Jahren des vergangenen Jahrhunderts immer häufiger die Bezeichnung Informationsmanager für Leute propagiert wurde, die bis dahin als Dokumentare firmierten, wurde dies in den etablierten Kreisen der Archivare und Bibliothekare gelegentlich belächelt und als Zeichen einer Identitätskrise oder jedenfalls einer Verunsicherung des damit überschriebenen Berufsbilds gewertet. Für den Berufsstand der Medienarchivare/Mediendokumentare, die sich seit 1960 in der Fachgruppe 7 des Vereins, später Verbands deutscher Archivare (VdA) organisieren, gehörte diese Verortung im Zeichen neuer inhaltlicher Herausforderungen (Informationsflut) und Technologien (EDV) allerdings schon früh zu den Selbstverständlichkeiten des Berufsalltags. "Halt, ohne uns geht es nicht!" lautete die Überschrift eines Artikels im Verbandsorgan "Info 7", der sich mit der Einrichtung von immer mächtigeren Leitungsnetzen und immer schnelleren Datenautobahnen beschäftigte. Information, Informationsgesellschaft: diese Begriffe wurden damals fast nur im technischen Sinne verstanden. Die informatisierte, nicht die informierte Gesellschaft stand im Vordergrund - was wiederum Kritiker auf den Plan rief, von Joseph Weizenbaum in den USA bis hin zu den Informations-Ökologen in Bremen. Bei den nationalen, manchmal auch nur regionalen Projekten und Modellversuchen mit Datenautobahnen - auch beim frühen Btx - war nie so recht deutlich geworden, welche Inhalte in welcher Gestalt durch diese Netze und Straßen gejagt werden sollten und wer diese Inhalte eigentlich selektieren, portionieren, positionieren, kurz: managen sollte. Spätestens mit dem World Wide Web sind diese Projekte denn auch obsolet geworden, jedenfalls was die Hardware und Software anging. Geblieben ist das Thema Inhalte (neudeutsch: Content). Und - immer drängender im nicht nur technischen Verständnis - das Thema Informationsmanagement. MedienInformationsManagement war die Frühjahrstagung der Fachgruppe 7 im Jahr 2000 in Weimar überschrieben, und auch die Folgetagung 2001 in Köln, die der multimedialen Produktion einen dokumentarischen Pragmatismus gegenüber stellte, handelte vom Geschäftsfeld Content und von Content-Management-Systemen. Die in diesem 6. Band der Reihe Beiträge zur Mediendokumentation versammelten Vorträge und Diskussionsbeiträge auf diesen beiden Tagungen beleuchten das Titel-Thema aus den verschiedensten Blickwinkeln: archivarischen, dokumentarischen, kaufmännischen, berufsständischen und juristischen. Deutlich wird dabei, daß die Berufsbezeichnung Medienarchivarln/Mediendokumentarln ziemlich genau für all das steht, was heute mit sog. alten wie neuen Medien im organisatorischen, d.h. ordnenden und vermittelnden Sinne geschieht. Im besonderen Maße trifft dies auf das Internet und die aus ihm geborenen Intranets zu. Beide bedürfen genauso der ordnenden Hand, die sich an den alten Medien, an Buch, Zeitung, Tonträger, Film etc. geschult hat, denn sie leben zu großen Teilen davon. Daß das Internet gleichwohl ein Medium sui generis ist und die alten Informationsberufe vor ganz neue Herausforderungen stellt - auch das durchzieht die Beiträge von Weimar und Köln.

    Abstract
    Purpose - The purpose of this paper is to provide a review of content management in the context of information architecture. Design/methodology/approach - The method adopted is a review of definitions of information architecture and an analysis of the importance of content and its management within information architecture. Findings - Concludes that reality will not necessarily match the vision of organisations investing in information architecture. Originality/value - The paper considers practical issues around content and records management.
